Parking and Retrieving Calls provides a great solution to managing several inbound calls at the same time, allowing you to leave a caller in a shared holding space.
This is turn will enable you or any of your colleagues to resume the conversation with the caller with the touch of a key.
As for the caller, they will hear the hold music while they are parked, no different than if you had put them on hold directly with your phone's hold key.
There are 2 parts to the process:
1) You park the call by using a programmed Park key, which transfers the call to a special extension 5000.
The system operator will then announce back where the call will be held: The available slots are 5001, 5002, 5003, and 5004.
2) Next, the key will light up for all users who have programmed their park appearance keys. When it is lit up, the other users (and you as well) know that they could push the button to grab the call and continue the conversation with the caller.
You or your colleagues could then park the call again if necessary and the process starts over.
- What is extremely helpful is that once you have parked a call, it hangs up your original call, which in turn frees up your line appearance keys to make other calls.
Here is how to program the keys:
First, go to Business Phone - Users
Next, click on the user's extension number you need to set up the park keys for.
Click on the Devices Tab, then click on the picture of the phone that will appear.
Program available keys, one for the Park Function, and assign park appearances to other empty keys.
In this example, I set the top right key to Call Park, and the two buttons below, to Call Park Appearance 5001, and Call Park Appearance 5002.
Click save, and your phone will update itself.
Do the same for the other users that need it, and you're all set!
